Does anyone have any experience with including travel costs in a proposal for a new client? If you do it, how do you go about it? We are putting together a large proposal for a new client in a different state and are deciding whether we should include travel costs to attend meetings into the proposal.

We have clients across the country and bill for travel expenses regularly. In our proposals we include a simple statement on the last page, as follows:

NOT INCLUDED: Out-of-pocket expenses, including, but not limited to third-party services, bank wire fees, photography and video purchases (rights, usage, etc.), travel expenses, and conference call services.

In the agreement the language is more like this:

TRAVEL EXPENSES: Travel arrangements will be made by Agency and travel expenses include, but are not limited to transportation, lodging, per diem, tolls, and parking. Billable travel expenses include a 10% administrative fee for airfare, auto rental, and lodging.

Some clients do not want to pay a per diem and require receipts for actual expenses. In that case the wording changes to:

TRAVEL EXPENSES: Travel arrangements will be made by Agency and travel expenses include, but are not limited to transportation, lodging, meals, tolls, and parking. Billable travel expenses include a 10% administrative fee for airfare, auto rental, and lodging.

We typically include a breakdown of travel hourly charges (half our typical rate) and identify a rough estimate of lodging, airfare, and meals/incidentals. Our travel agreements work best when they are set at time and materials estimates. Hope this helps.
