Does your staff come in at a set time or does everyone straggle in leisurly?

Hi Kathleen, we've had success in setting a morning traffic meeting at 9:15am every day, so the staff comes in at a time of their choosing up until that meeting starts. We have 14 people on our team that work a guranteed 9:15 am to 4pm shift, with varying start and end times. For example: one staff member chooses to come in at 7:30 am and leaves after 4pm, another chooses to come in at 9am and leaves around 6pm. It's worked pretty well for us. Only issue I see with it from time to time is trying to schedule client and project meetings (9-4 is a shorter window of time compared to 8-5).

Ultimately why I think this works well for us is each person has committed to their individual schedule, so we can count on it. Hope this helps.

Hi Kathleen:

I have spoken with other members who use the same strategy as Morgan. It works well because you have a set window of time that everyone is in the office but a flexible start and end time. This helps when people have appointments or need to leave early to pick up kids....they can adjust their start/end time accordingly and still get their hours in for the week. I think some flexibility is good as long as everyone understands when they are required to be on premises.

Our hours are Monday 8:30 to 4:00; and Tuesday thru Friday 10:00 - 4:00 (26.5 hours, once you factor out a lunch hour). The remaining 13.5 hours are flex time, and our team can bill whenever they want, as long as they account for 40 hours in a week. The flexible schedule encourages being on time for the "mandatory" hours, and its within those hours that we do client and internal meetings. Some choose to come in 8:30 - 5:30 to get their 40 and others go to the gym in the am and answer emails at night..whatever? I think it makes us more competitive in the workplace for working parents.

We start the week with a traffic meeting Mondays at 8:30 AM. Tuesdays through Fridays we do short standup meetings at 9:00 AM. Full time staff stays 'til at least 5 PM, usually later. We're flexible where needed. It works.

We work when our clients work — standard 8:30 - 5:30 with flexible time to take lunch and shift a little back and forth. We kick off every day with an 8:45 Traffic meeting to review the tasks for the day and make sure the account teams are not over burdening the studio team. It works pretty well -- has for years and years. That said, if somebody wants or needs to come in earlier and leave earlier, or come in later and leave later, we certainly allow it. But we have found it's pretty bad when 2-3 people are gone at 4:00 and a client calls with unexpected changes at 4:10 and the folks who can handle the changes are not there.

We have also been working from home on every other Monday. We call it “Tele-Mondo” but we DO NOT LET THE CLIENTS KNOW we are not at the office. It should be seamless to them. If it's not...it's not working. We want them to know we're handling their work just like every other day. If they request a Monday meeting, we go. If a client asks to come in on a Tele-Mondo, we come in. I think that's important, and it assures them the work is getting done. So far since January, it's been great, and it's a nice change of pace for the employees.

We have something very similar to Morgan. We call it our Flex Time policy. We have what we call a "standup meeting" every morning at 9a. It's a very quick traffic meeting. Our core hours are 9a-4p Monday thru Friday and everyone must still get their 40 hrs in a week, but then they come in and leave when they want - as long as they are here between 9a and 4p, excluding lunch. They can even skip their lunch if they want to come in at 8:30 and leave at 4:30. This allows us set times to be able to schedule meetings. And if a client meeting is scheduled outside those core hours of 9a to 4p, then folks will adjust their schedules to accommodate the client meeting. We started this 1 year ago and our employees have really liked it for all the reasons already mentioned.
